Internship: Event Management & Administrative Support

The Global Forum on Cyber Expertise (GFCE) Secretariat is seeking an organized, efficient, and proactive intern to support the GFCE Secretariat with the organization of a plethora of its events and the facilitation of the Women in International Security and Cyberspace Fellowship (WIC), in its main office in The Hague, the Netherlands. The internship is for six months with a preferred starting date of 1 May 2024.

Background

Established in 2015, the GFCE is a multi-stakeholder community of more than 200 members and partners consisting of governments, IGOs, companies, academia and project implementers from all regions of the world. Its mission is to strengthen cyber capacity and expertise globally by being a pragmatic, action-orientated and flexible platform for international collaboration. The GFCE delivers its mission through coordination to avoid duplication of efforts and blind spots; knowledge sharing to improve the efficiency and effectiveness of projects; being a Clearing House to connect requests for assistance with offers of support; and identifying and filling knowledge gaps with the development of a global CCB Research Agenda. One of the most rewarding projects that the GFCE helps to coordinate is the Women in International Security and Cyberspace Fellowship (WIC), which aims to address the need for a greater proportion of representation from women at the United Nations negotiations concerning cyberspace. The fellowship is jointly organized and sponsored by the Governments of Australia, Canada, the Netherlands, New Zealand, the United Kingdom and the United States. The program seeks to develop cyber governance capacities, providing access to workshops and training as well as direct support to Fellows for their participation in UN First and Third Committee processes.

Role

The role of the Event Management & Administrative Support intern is to provide support to the GFCE Secretariat with the successful realization of its events and smooth participation of WiC fellows in the UN cyber negotiations. We offer the opportunity to experience firsthand how an international forum dealing with the dynamic subject of cyber capacity building operates globally. The intern will be given the opportunity to communicate with international stakeholders such as governments, companies and international organizations and to perform dynamic tasks. The position requires a high degree of responsibility, discretion, and confidentiality.

Duties and Responsibilities

Event Management

· Facilitate the organization of events by providing logistical support to the Secretariat.

· Manage overview of invitees and speakers and interact with them when necessary.

· Assist with attendees’ travel arrangements.

· Engage with external parties and co-organizers of conferences and other events.

· Draft content and reports on conferences and other events and facilitate post-event evaluation.

· Support the GFCE Secretariat in carrying out its day-to-day activities in fostering relationships with the GFCE Community and other stakeholders, maintaining and expanding the member- and partner network.

· Act as a positive representation of the GFCE to the community and other stakeholders.

Administrative Support

· Help facilitate the Women in International Security and Cyberspace Fellowship (WiC) by helping with administrative tasks and logistics (e.g, flight booking, health insurance reimbursements, etc.).

· Schedule appointments and calls related to the WiC Fellowship.

· Create email templates and store sensitive information correctly.

· Generate reports post hoc and manage correspondence.

· Help with updating excel spreadsheets and other data entry tasks.

· Create and reconcile expense reports, ensuring accuracy and compliance with GFCE financial procedures.

Requirements, Qualifications and Skills

· Ongoing degree or educated in (cyber) security studies, public management, international relations or other relevant fields.

· Strong planning and organizational skills, with a distinct advantage afforded to organizing international events.

· Pays attention to details and maintains a systematic and structured approach.

· Proven admin, assistant or event planning experience is an asset.

· Problem-solving skills and having the ability to multi-task.

· Demonstrates an understanding of the basic principles of public relations and confident communication with external partners.

· Demonstrates cultural, linguistic and gender sensitivities, due to a large number of involved stakeholders.

· Excellent skills in Microsoft 365, especially in Excel.

· Flexible, proactive and able to work independently and as part of a multinational team.

· Excellent verbal and written communication skills in the English language.

· Candidate is currently enrolled in an educational program in the EU or is in possession of ‘zoekjaar’ visa.

Terms and Conditions

The internship is full-time based on a 40-hour working week. Remuneration is set at a fixed gross monthly rate of 830 Euro plus reimbursement of actual travel (commute) expenses. The GFCE Secretariat office is based in The Hague, the Netherlands, and candidates are expected to work from the office in The Hague a minimum of three times a week.
